Responsibilities
1. Office Maintenance & Cleanliness Opening and Closing: Ensuring the office is opened on time in the morning and securely locked up at the end of the day. Setting Up: Turning on lights, air conditioning/heating, and ensuring office equipment (printers, copiers) are powered on and ready. Tidiness: Maintaining clean and organized meeting rooms, reception areas, and common spaces throughout the day. 2. Hospitality & Pantry Management Guest Welcoming: Serving water, tea, coffee, or refreshments to clients, visitors, and management during meetings. Pantry Upkeep: Keeping the office kitchen or pantry clean, washing dishes, and monitoring stock levels (sugar, coffee, tea, milk, snacks). Lunch/Snack Coordination: Fetching or ordering food and refreshments for staff during late shifts or meetings. 3. Administrative Support & Errands Filing & Documentation: Photocopying, scanning, sorting, and filing physical documents as directed by administrative staff. Mail & Couriers: Receiving incoming mail, packages, and deliveries, and distributing them to the correct departments. Dispatching outgoing mail or handling external courier runs. Bank & External Errands: Depositing checks, paying utility bills, or picking up urgent office supplies from local markets. 4. Inventory & Asset Care Supply Monitoring: Keeping track of office stationery (paper, pens, staplers) and cleaning supplies, and notifying supervisors when stocks run low. Equipment Support: Assisting with minor troubleshooting (like adding paper or toner to printers) or guiding external technicians to broken office fixtures.
