Role Objective
Manage end-to-end travel arrangements for employees and handle front office reception duties to ensure smooth day-to-day office operations and a professional first impression for visitors.
Key Responsibilities
1. Travel Desk Management
a. Handle domestic & international travel bookings flights, trains, hotels, cabs, visas for all employees.
b. Coordinate with approved travel vendors for best rates, corporate discounts, and timely confirmations.
c. Prepare detailed travel itineraries and share with employees before travel date.
d. Process travel advances, expense settlements, and verify bills with Accounts.
e. Maintain travel MIS cost per trip, vendor-wise spend, policy compliance report monthly.
f. Support retail store opening teams with bulk travel & stay arrangements for 20+ new stores.
2. Front Office & Reception
a. Manage front desk greet visitors, vendors, candidates and direct them appropriately.
b. Handle incoming/outgoing calls, couriers, and maintain visitor logbook.
c. Schedule meeting rooms, ensure readiness with projector, stationery, refreshments.
d. Maintain reception area, pantry coordination, and overall office upkeep.
e. Manage office supplies, stationery inventory, and raise POs as needed.
3. Administration Support
a. Assist HR with new joinee on boarding kits, ID card & T-shirt coordination with Gangaraju.
b. Maintain employee attendance for HO staff and coordinate with security.
c. Support in organizing company events, training sessions, and festive celebrations.
d. Handle general admin queries from stores and coordinate with respective teams.
Required Skills & Experience
1. Experience: 24 years in Travel Desk / Admin / Front Office, preferably in retail or corporate setup.
2. Technical: Knowledge of online travel portals MakeMyTrip, Yatra, IRCTC, airline websites. MS Excel for MIS.
3. Communication: Excellent verbal & written English, Hindi, and Kannada. Pleasing personality.
4. Education: Any Graduate. Diploma in Travel & Tourism is an advantage.
